How Scout Recruitment (Pty) Ltd handles your personal information

This notice explains what we collect when you apply for a role or we contact you about one, and your rights under the Protection of Personal Information Act, 2013 (POPIA).

Who we are

Scout Recruitment (Pty) Ltd is a recruitment agency and the responsible party for your information. Contact us at znkonjane@gmail.com · +27 81 209 0248.

What we collect

  • Your CV and the details in it: work history, qualifications, skills and contact details.
  • Your answers to application questions, notice period and salary expectations.
  • Notes from our conversations with you, and the employers we've put you forward to.
  • Optional employment-equity information, only if you choose to give it and agree to its use for that purpose. It is never used to score your CV.
  • If we contact you first: the professional details you made public (for example on LinkedIn), and where we found them.

Why we use it

  • To assess you for the role you applied for and, if you agree (for example by joining our talent network), for similar roles.
  • To share your profile with a hiring employer — only for a specific role and with your agreement.
  • To keep you updated about your application.

How we screen CVs

We use software, including an AI service, to compare CVs with an employer's requirements. Before any CV is analysed by AI, your name, contact details, ID number and other personal details are removed from the text. The analysis produces notes with evidence from your CV; a consultant reviews them and makes every decision. No decision about you is made solely by a computer.

Who we share it with

  • The employer for a specific role, with your agreement.
  • Service providers who help us run our systems. Our AI screening provider (Anthropic) processes anonymised CV text in the United States under contractual data-protection commitments.
  • Nobody else, unless the law requires it. We never sell your information.

How long we keep it

We keep your information for 12 months after you last applied or confirmed you'd like to hear about roles, then delete it. If we contacted you and you didn't respond, we delete your details within 30 days.

How we protect it

Your information is stored on secured systems with restricted access, and backups are encrypted. Access is logged. Our database and CV files are stored on servers in Johannesburg, South Africa.

If you contact us as an employer

When you request candidates, we use your name and contact details to respond to your request and manage our work together, and keep them for as long as we work with your organisation. Shortlists we share through our client portal are for your recruitment decision only — please don't forward or store candidates' profiles beyond that process.

Your rights

  • Ask what information we hold about you and get a copy.
  • Ask us to correct or delete it, or withdraw your consent at any time.
  • Object to us contacting you — reply “STOP” to any message from us.
  • Complain to the Information Regulator (South Africa) at inforegulator.org.za if you're unhappy with how we handled your information.

To use any of these rights, contact us at znkonjane@gmail.com · +27 81 209 0248.
